Everything you need to know to do a mailing to Apartment Residents!

For most orders, it will take approximately 2 weeks from approval of artwork & mailing list for the post cards to be ready to mail. In order to meet your schedule we will need your timely response to our communications and proofs.

In order to get started we will need the following from you:

  1. Initial Artwork

    This includes photo(s), logo(s) and any text that you want printed on either side of the post card. It is best if we can have everything provided in a digital, print ready & high-resolution file. When you are ready to transfer your files you can send them via our web site, www.serviceinfo.BIZ or you can save them to a CD or some other media.

  2. APARTMENT ADDRESSES

    In order for us to compile the mail list for you we will need to get a list of all addresses used for residents in any apartment complex you wish to mail to. It will assist us for you to provide the Apartment complex name, the full address used for the residents (not the complex management) and the number of apartments. Some larger complexes have more than one street address used by their residents. To insure we locate all of the units, we will need you to provide us with all of these. We will then get the U.S. Postal Service carrier route those addresses are on and from that we will get the addresses for all the multifamily dwelling units (apartments) in that carrier route. If more than one apartment complex is in each carrier route it is a possibility that we may get the addresses for a complex you did not include on your list. If you do not wish to include these addresses we will remove them.

PRINTING

  1. COLOR

    Most of our customers choose to print in black only on the address side of the card and up to full color on the other. The choice is up to you. Keep in mind that your cost goes up with extra ink used in the order. You will want to consider the marketing benefit you hope to receive with the additional cost of color. However, don’t let cost get in the way of good marketing. There are many studies that prove “COLOR SELLS”!

  2. SIZE

    Most of our customers prefer 5” x 8”, but we can provide you with any size from the minimum 3.5 x 5 up to 8-1/2” x 11”. The sizes 5-1/2” x 8-1/2” and 6” x 9” are also popular. Remember, increasing the size of your post card will also increase your costs.

  3. QUANTITY

    Although the addresses you choose to mail to will largely dictate your quantity; there are other factors to consider. You may want to consider up front if you would like to have any extra post cards printed to keep as samples, hand outs, or for follow-up mailings to your drop in quests.

  4. Typesetting and Design

    This is the work it takes for us to make your photo(s), logo(s), and other ideas ready to print. If you happen to have the post card complete in a “print ready” digital file please send us your file. If you have nothing more than a general idea of what you want, we are also able to offer help with design and layout for your post card. Cost will increase as the difficulty of the design work increases. We will send you electronic proofs via email for approval. If you require excessive changes after we have made the initial proof, there may be additional charges. Most of our post card projects require approximately 2 proofs and this is included in your original estimate.

  5. The Mail List

    We will prepare the list according to USPS guidelines, which will give you certain postage discounts. This price will be quoted per thousand and will be affected by quantity ordered. If you have special needs for your mailing list that go beyond what is specified above there may be additional charges. Most of our customers choose to “rent” this mailing list for a one-time use but you could consider the “three time usage rental”. The U.S. Postal Service will only certify your list for a limited time as they change the carrier route and the walk sequence frequently.

  6. Mailing Service

    We will drop your cards in the mail insuring you of the lowest postage cost. Most of our customers prefer the lower cost “Standard PreSort” option made available from the post office. This postage cost is usually in the 15 to 20 cents per card range. We can also mail at the more expensive “First Class PreSort” rate if you need a quicker delivery. We will NOT be able to quote you the postage cost until we receive your order and run the address list thru our postal software.

  7. Payment Terms

    As is standard in the mailing industry, we will require full payment of your order and the postage amount prior to completion of your order. You may pay by check, MasterCard, Visa, or American Express.

  8. Cost

    Once we know all of the particulars, we will quote you a firm price. Typesetting & design may only be quoted as an estimate. We will “firm up” any estimates as we are able to do so.

  9. Order Acknowledgement

    Once we know of all of the details of your order, we will submit to you an order acknowledgement. This is your opportunity to verify all details including final pricing.
